Message Rules

Outlook 2000

Note: These instructions will enable Microsoft Outlook to filter your email or move your  messages to a specific folder as this example will show. To find instructions on how to get Outlook to delete your messages, click here.

Step 1: Open Microsoft Outlook 2000. Go to the Start Menu. Move your mouse over Programs, and in the menu that pops up, left single-click on Microsoft Outlook.


Step 2: Once in Outlook, left single-click on the Tools menu, and left single-click on Rules Wizard.


Step 3: You should now see the following screen.


Step 3 (cont): Click on New. You should now see the following screen.


Step 4: Make sure that Check messages when they arrive is highlighted and click Next. You should now see the following screen.


Step 5: Underneath Which condition(s) would you like to check?, scroll down until you see with specific words in the sender's address (or one of the other choices). Click the checkbox next that text. Underneath you should now see the phrase specific words appear. It will be blue and underlined. Click on it and you will see this screen.


Step 6: In the text field that appears, type prospects@ppar.com (or whatever words your want to filter for) and click OK. You should now see the following screen. Click Next on this screen.


Step 7: After finishing Step 6, you should see the following screen. 

Step 8: Next to the text that says move it to the specified folder (or choose another action you want done), click on the checkbox. The text should now appear in the box underneath. Click on the phrase specified (it will be blue & underlined). You should then see this screen. Steps 9 & 10 show you how to create a new folder. Otherwise click Finish.


Step 9: Make sure the word Inbox is highlighted (highlight it by left single-clicking on it) and click New. You should now see the following screen.


Step 10: Underneath Name type Prospects. Click OK on this screen and OK  on the next.
You should now be at the following screen.


Step 11: Click Next on this screen and Next on the next screen. You should now see the following screen.


Step 12: If you want, you can transfer any existing mail messages concerning Prospects into the Prospects folder by checking the box next to Run this rule on messages already in 'Inbox'. Otherwise, when you click Finish any future messages concerning prospects will be moved into the Prospects folder. Click Finish and then click OK on the next screen. You are done!
